Upavon Golf Club needs to collect and process personal data in order to provide contractual services to members, visitors, guests and staff. This policy explains when and why we (Upavon Golf Club) collect personal information about our members, how we use it and how we keep it secure and your rights in relation to it.
We may collect, use and store your personal data, as described in this Data Privacy Policy and as described when we collect data from you – for example when you complete the membership application forms, competition forms and renewal forms.
We reserve the right to amend this Data Privacy Policy from time to time without prior notice. You are advised to check our website http://www.upavongolfclub.co.uk/ or our Club noticeboard regularly for any amendments (such amendments will not apply retrospectively).
We will always comply with applicable UK Data Protection legislation including the General Data Protection Regulation (GDPR) when dealing with your personal data. We will always ask for your consent to process your personal data. We do this when you first apply to join our club ( Upavon Golf Club Membership Application Form) and we do this annually when you renew your membership (Upavon Golf Club Annual Renewal of Membership Form). If you do not consent and provide the required information as set out on the forms, we will not be able to update you on club news, events and membership proposals – which will be posted in the Clubhouse to aid those members to have not consented.
We will not transfer your personal data outside the European Economic Area.
We have implemented generally accepted standards of technology and operational security in order to protect personal data from loss, misuse, or unauthorised alteration or destruction.
Only authorised members of the Upavon Golf Club Secretarial Team have unlimited access to your personal data.
Please note, however, that where you are transmitting information to us over the internet, then given that data is not always encrypted, we cannot definitely guarantee the security of this information.
We will notify you promptly in the event of any breach of your personal data which might expose you to serious risk.
We will never sell your personal data. We will not share your personal data with any third parties without your prior consent (which you are free to withhold) except where required to do so by law or as set out in the table above (What information we collect and why).
We may pass your personal data to the Upavon Club Professional in order that he may provide a better service to members and visitors. We may pass your data to third parties who are service providers, agents and subcontractors to us for the purposes of completing tasks and providing services to you on our behalf membership of England Golf & Wiltshire Golf, we disclose only the personal data that is necessary for the third party to deliver the service and we have a contract in place that requires them to keep your information secure and not to use it for their own purposes.
Upavon Golf Club is affiliated to England Golf and Wiltshire Golf we will share your data with them as necessary to enable your participation in golf. Should you no longer wish to have an active golf handicap they will remove you from their database on request.
We will hold your personal data on our systems for as long as you are a member of Upavon GolfClub and for as long afterwards as is necessary to comply with our legal obligations.
We will review your personal data every year to establish whether we are still entitled to process it. If we decide that we are not entitled to do so, we will stop processing your personal data with the exception of retaining your personal data in an archived form in order to be able to comply with future legal obligations, including but not limited to compliance with tax requirements and exemptions, and the establishment exercise or defence of legal claims. We securely destroy all data once we have used it and no longer need it.
